The Queens Hotel is committed to protecting and respecting your privacy. This policy (together with our terms of use) sets out the basis on which any personal data we collect from you, or that you provide to us be processed. Please read the following carefully to understand our views and procedures.

For the purposes of the Data Protection Act 2018 and the UK GDPR, the data controller is New Station Street City Square, Leeds LS1 1PJ.

This privacy policy (the “Policy”) applies to personal data about guests, visitors, customers and suppliers as well as other individuals who may be registered in IT systems (such as booking systems), website, apps, loyalty programs or the equivalent or personal data that is transferred from travel agencies, other booking sites or similar.

How we collect your information?

We collect personal information directly from you or from other sources.

Information you provide: When you contact us, make a hotel reservation, share special requests, or interact with us on social media, we collect the information you provide. This may include sensitive data, such as allergy information. We also collect information automatically about your visit to our website which may include your IP addresses.

Information from other sources: We may receive your information from third parties, for example when someone books on your behalf, from business partners or affiliated companies, and from publicly available sources such as social media or online reviews.

We will provide you with relevant information about this processing where possible.

Legitimate interests: e.g. in contacting our guests to ask them about their stay in our hotel. When processing is based on legitimate interest, we shall make a balance between our legitimate interests and your rights and interests.

The personal data that you submit to us on any social media platform or by mail (e.g. name, e-mail address and telephone number).  

To provide you with the services and products that you want, to manage and market our services and products and to communicate with you.

We use your personal data to keep you informed about our services, events and promotions.  

We have a legitimate interest in sending marketing communications to our existing customers regarding our own similar products and services (e.g. event invitations, promotions and special offers, …) including via social media. If you do not wish to receive our communications you can express your preference at the time we collect your personal information. In addition, if we process your personal data for marketing purposes, you have the right to opt-out from future marketing communications at any moment (for example, by clicking on the unsubscribe link in a marketing email you receive from us). 

If you are not a guest or a client, we may use your personal data to send you marketing information (e.g. event invitations, promotions and special offers, …) including via social media if you have given us your prior consent to do so.   

If you have consented to receive our marketing communications or digital newsletters, you may withdraw your consent your consent at any time. 

 

 

As far as we know, we are not in contact or collect personal data from children under 13 without relevant permission from a parent or guardian. If you believe we have inadvertently collected such information, please contact us so we can promptly obtain parental consent or remove the information. 

Where processing is based on your consent you may withdraw your consent at any time without affecting processing carried out before withdrawal.

CCTV system

We use camera surveillance at Queens Hotel Leeds. It is of great importance that all camera surveillance takes place in accordance with the relevant legislation in effect from time to time. The camera images are processed based on the legitimate interest to secure and protect our hotel, our guests, visitors and employees. Queens Hotel Leeds has indicated the camera surveillance by means of a pictogram, and it has included information in a specific record. You can refer to our CCTV policy for further information.

Retention of your personal data

We will not save personal data longer than necessary taking into consideration the purpose of the relevant processing. The responsible manager shall ensure that any routines applicable to deletion of personal data are complied with (please note that certain laws require that certain types of information must be saved for specified periods of time). Camera images are kept for a period of in principle one month.  

Sharing your information

We may share your personal or anonymous data with trusted third parties, including:

  • service providers, vendors, contractors, and companies within our group,
  • partners supporting hotel operations, reservations, marketing, or IT services,
  • legal and professional advisors,
  • public authorities where required by law, and
  • advertising and analytics partners helping us improve our services and communications.

All third parties are required to keep your information confidential and use it only for the services they provide to us.

International data transfers

As a general rule, we do not transfer your personal data outside the UK. However, some of our service providers may process data outside the UK. In such cases, we ensure that appropriate safeguards are in place to protect your data, such as approved international transfer agreements or UK addendums. We also assess the level of data protection in relevant countries and apply additional measures where required under UK data protection law.
